Zoom Shared Account - Two Factor Authentication (2FA) 

 

Department and Kīpuka paid Zoom shared accounts are used for meetings with Teammates, community partners, and our Kamaliʻi.   

 

To ensure we secure this channel of communication, we will need to setup 2FA on each department and Kipuka Zoom shared account. Once all the shared accounts have been secured with 2FA, we will then be able to globally enable Zoom 2FA for all.   

 

We will be using a feature in 1Password to generate the 2FA token, this feature should only be used for shared accounts. 

 

  1. Open a web browser and login to your department or Kīpuka zoom account (https://zoom.us
     

  1. Click on “Profile”. 

 

 

  1. Scroll down to the section “Sign-In”, click “Turn On” for Two-factor Authentication. 

 

 

 

 

 

 

 

 

 

  1. Enter your password for Zoom to Turn on Two-factor Authentication 

 

 

  1. Click on “Set Up” for Authentication App.  

 

 

 

  1. Enter your Zoom password again and then click “next” and a QR code will appear. 
     

  1. Open and login to 1Password on your Desktop. 

  1. Select your department or Kīpuka Shared Vault than has been created for you your team (ex. IT Shared, YD Shared, YD Hawaii Island Shared, SS East Oahu Shared,) 

 

 

  1.  Click “+” to select “login”. 

 

 

  1. Change “Login” label to descriptive label for your department or Kīpuka Zoom account (ex. IT Zoom Account). 

 
 

  1. Enter existing username and password 

  1. Website enter: zoom.us 

 

  1. Under “Section”, click on drop down arrows, select “One-Time Password”. 

 

 

  1. Click on the QR code icon, a pop-up window to allow you to scan the QR code. 

 

  1. Go back to the browser to scan the QR code. 

  1. Go back to 1Password click on “Save”. 

(See example below.) 

 

 

  1. Go back to the web browser, click “Next”, enter your Zoom 2FA token from 1Password, and click “Verify”. 

 

  1. You will be presented with Recovery codes.  These recovery codes are single use, if other authentication methods do not work.  Click on “Download” to save the file.  
     

 

  1. Save the recovery code in 1Password with a Secure Note. 

  1. Open downloaded recovery codes file in Downloads, select all by pressing (CMD+A) on your keyboard and copy by pressing (CMD+C) on your keyboard. 

 

  1. Open 1Password, return to your team’s shared vault, click on the “+”, select “Secure Note”. 
     

  1. Rename “Secure Note” to a unique name with “Zoom 2FA Recovery Codes” (ex: YD Maui Zoom 2FA Recovery Codes) in the name, click on “this is the beginning of a note” and press (CMD+V) to paste your recovery codes, and click “Save”. 

 

 

  1.  Logout from Zoom and log back in to ensure 2FA has been enabled.
