Email encryption is the process by which information is encoded so that only an authorized recipient can decode and consume the information. Our Office 365 encryption allows us to send email to people inside and out of organization regardless of the destination email address (Gmail, Yahoo Mail, Outlook, etc.). Encrypted email is automatically decrypted if the recipients is using an Outlook app/web client with a Microsoft email account. Others can get a one-time passcode to view the encrypted email or send encrypted replies.
- Sending Encrypted Email From Office 365 Outlook Web Access:
- Click New message button
- Select Paint Brush icon, then select Highly Confidential. By default the email cannot be forwarded, printed, or copied.
- Finish composing your message, click Send.

- Compose New Email
- Select Option menu
- Click dropdown arrow next to the Encrypt icon, select either “Encrypt Only” or “Do Not Forward”
- Finish composing your message, click back the Message tab, click Send.
- Because email encryption provides end-to-end encryption channel between sender and recipients, it is vital to keep the email encryption thread alive and secured
- The email recipients can keep encryption intact by simply reply to the encrypted email.
- If the email contains attachments/forms for recipients to fill out and return, recipients should save the attachment to an known location such the Download folder, fill out and save the forms, reply and reattach the forms to the encrypted email thread, so the information send back to the sender is secured.
- The recipients can also take advantage of the email encrypted thread by replying back with any attachments to LT safely, whether they be form fill, scanned in, picture, etc.
